Member Advisory Committee
Terms of Reference
Purpose
The purpose of the Advisory Committee is to give advice and feedback on the operation of the branch from a Member/Participant’s perspective. This is not a policy making committee
Composition
The Advisory Committee shall be made up of a maximum of ten (10) members/ participants who reflect the overall composition of the branch. Where possible, there will be representatives from each of the major membership/participant categories and they will reflect the ages and interests of branch users. For example, the HFR branches should have representation from the following areas: Assisted member, Women’s General, Men’s General, Women’s Adult Only, Men’s Adult Only, Senior, Youth, Volunteer, and Member Services/Frontline staff. Committee members will commit to a two-year term
Committee Selection
Committee members will be solicited through an application process. General Managers may also approach prospective committee members who they feel may have special skills or knowledge that would benefit the committee. Members will be selected to include a diverse range of backgrounds, ages, experiences, cultures, etc. Committee selection will be completed annually by January 1st of the respective year Staff Responsibilities At the meetings, the General Manager will review the Branch statistical information, comment card summaries or program and participant evaluations, upcoming special events, capital development, feedback, issues and concerns which may affect members/ participants, and the facility’s operation. Committee Member Responsibilities Committee members are expected to attend meetings, bring forward member comments and concerns, and submit agenda topics as they feel necessary. Committee members will be encouraged to attend branch or association events and support YMCA initiatives such as Strong Kids. Committee members will inform the staff if they are unable to attend a meeting. Meeting
Meetings will be held at the branch once every three months, with extra meetings held on an as needed basis. Exceptions to the meeting dates and times may occur based on schedule demands of staff and committee members. The meetings will occur in January, April, June and October of each year.
Communication
The Advisory Committee’s purpose and members will be communicated to the branch via Member News, display boards, posters, website, etc
